Student Complaint Policy


Student complaints can be categorized into four major areas: Academic, Non-academic, Discrimination/Harassment, or Appeals of any of the previously mentioned areas.

Oxford College practices a methodology that encourages each student to handle complaints as close to the source as possible. In addition, Oxford provides an electronic method for handling student complaints and other issues through its Speak Up electronic form

The students are able to choose which department most closely relates to their complaint; also choosing whether or not to remain anonymous.  Once the complaint is submitted, a student will receive an electronic copy of his or her complaint from Dean Moon, Dean of Campus Life provided the student has included a valid email address.  Select designees within the college will receive and respond to each student’s complaint based on the department related to the nature of the issue of concern.  Also, the anonymity of the complainant may impact the college’s ability to effectively address and/or resolve issues of concern.

What documentation, if applicable, is required to support a complaint?

Student complaints must initially be submitted through the Speak Up form.  Once the complaint has been received and processed through the applicable department, a determination will be made whether additional documentation will be needed.  The type of documentation will depend on the scope and nature of the complaint.

In order to receive a response and subsequent resolution to the complaint, students should provide their name and valid email address, along with a detailed complaint description.  A response acknowledging receipt and outlining how the complaint will be addressed will be provided in writing within ten (10) business days of receipt of the complaint. Regular updates on the status of progress toward resolution of the complaint will be communicated to the student in case the resolution requires additional time.

Complaints concerning academic policy can also be submitted either in hard copy or via email to the Academic Appeals Committee at Oxford College at vmolyne@emory.edu.

Where can I submit a Request for Academic Policy Exception?

Requests for exceptions to standing Academic Policy are handled by the Academic Appeals Committee.  Students wishing to file for an academic exception should, in the first instance, email their Request for Academic Policy Exception to the Associate Dean for Academic Affairs, Dean Molyneaux at vmolyne@emory.edu.  Upon Dean Molyneaux's review, should the request be denied, the student may request the decision be reviewed by the Oxford Academic Appeals Committee.

Grade Disputes

Students who wish to dispute a grade in a course or assignment should submit their complaint in writing to the Associate Dean of Academic Affairs, Dean Molyneaux at vmolyne@emory.edu.

General Complaints

Students who wish to make a general complaint not covered by the processes for academic exceptions or grade disputes should submit those electronically through the Speak Up form, as outlined above.

Federal financial aid laws and regulations require that each state have a process to review and act on complaints concerning educational institutions in the state. If you have a complaint, you may, of course, file a complaint with Emory’s financial aid office or call the Trust Line at 1-888-550-8850 or file a report online. You may also file a complaint about Emory University with the State of Georgia Office of Inspector General by following the directions at the Office of Inspector General (OIG) website. In the event that OIG receives a student complaint relating to financial aid, it will be forwarded to the Office of Inspector General of the U.S. Department of Education.
